Pod Exhibitions was approached by Vitrolife to provide a suggestion for a portable modular stand that could be used at a variety of shows and events around the UK. Previously they had been using banner stands and tables provided by the venue. The corporate distributor’s exhibition stand was an attractive, custom-built stand built by contractors.

The sales team in the UK wanted Pod Exhibitions to design a stand that reflected the corporate look, lifting their presence at the events, whilst remaining a portable system that they could erect themselves on site. Vitrolife’s prospective customers would expect a great looking stand that reflected their view of the company, whilst the sales staff wanted a stand they could be proud of when welcoming gynecologists, embryologists and nurses.

As well as a good visual presentation of Vitrolife products and services, the staff wanted a reception counter, demonstration kiosk and shelving for products and gifts – and all this had to go into an estate car! The modular stand had to be reconfigurable from a 6x4 metre to a 3x2 metre stand whilst maintaining the same corporate identity.

Our Action

The client completed Pod Exhibition’s Exhibition Stand Design Considerations Form, which clearly gave the sales consultant a clear brief of what was required from the project.

Two systems were identified as providing a solution to meet the brief. These were Esetta and Centro. Ideas from previous designs were emailed to the client for her consideration. After lengthy discussions over the phone in between client meetings, a sketch was drawn up that seemed to fulfill all the requirements of the Vitrolife brief.

Our Solution

A CAD drawing for each system was completed along with the relevant quotations.

The Vitrolife team liked elements of both systems, and so the contemporary aluminium Centro system was chosen for the graphic walls, whilst the individuality of the Esetta counters was retained for the reception desk and demonstration kiosk.

The End Result

After full working drawings were completed and artwork supplied for the graphic panels, a pre-build meeting was arranged at our factory. This enabled the Vitrolife team to see their completed stand in the flesh and work out logistics and visualise the working footprint.

A half-day training session was also given by the Pod Exhibitions installers, to enable Vitrolife to be able to transport and erect the stand themselves. Subsequently, after the first show, it was requested that a member of the Pod construction team attend the second event to oversee and assist in the erection of the stand within a 3x2 metre shell scheme.

After the show our clients advised us: “Just an update on the fertility show.  3600 patients attended and the show for us was a great success and as you can see from the pictures that I have just sent over, the stand looked amazing!”  “I would also like to say a big thank you for sending Ed to help us.  He was just lovely!  He helped to build the main counter as he knows how it goes, so this was a great help for us and we appreciate it.  Ed was just so easy to work with, was extremely pleasant and very eager to help, he was just great and is an asset to your company.”
